GVPTA Online Meeting Room

GVPTA's Zoom meeting room booking service is being discontinued in August 2021.

If you wish to request a booking for a meeting taking place up until October 31, 2021, you must submit your request via the online form by August 27.


Requests will not be accepted after August 27.

During this challenging time, we recognize that theatre companies, collectives, and artists are looking for ways to meet virtually. We also recognize that paying to access video conferencing software is not an option for everyone.

GVPTA members have access to our Zoom Pro account in order for you to host your own Zoom meeting of 3 or more participants (up to 100).                                                      

Each meeting slot is for up to 4 consecutive hours (you may request more time which we will try to accommodate if we are able).


Meetings should be related to advancing your work or organization in the theatre (or arts and culture) sector, like board meetings, production or planning meetings, etc.


This offer may not be used  for:
  • Public- or audience-facing activities (performances, presentations, etc)
  • Personal "hang out" sessions
  • Paid services (ie. no one shall be asked to pay to attend, via ticket or by donation)*


*Exceptions are for organizations hosting Annual General Meetings, where a membership fee is required to vote.


Note: Zoom's free account allows two people to meet with no time restrictions, while meetings with 3 or more are cut off at 40 minutes. If your meeting fits within those restrictions, please use your free account. If your activity does not fit within the intended scope of our guidelines, you may consider paying for one month of Zoom Pro – just be sure to cancel your account before it renews. Google Hangouts and Skype are other free options you may wish to explore.

Zoom Meeting Rooms F.A.Q.s

Who can make a request?
GVPTA Members under the categories of Theatre Company, Standard Individual, Standard Associate, and Community Associate.
What Zoom features will you have access to?
You can host any single room video conference/meeting that don't require virtual breakout rooms. Features include:
  • Text chat
  • Screen sharing
  • Whiteboard
  • Polling
  • Canadian and international dial-in numbers (long distance charges may apply)
What you will NOT have access to:

  • Breakout rooms
  • Recording of meetings
  • Webinar features 
What is the booking process?

  1. Review the embedded calendar to the right to see if the date/time you are requesting is available.
  2. Fill out the form below to request the date/time for your meeting.
  3. Submit your request
  4. We review and if approved, you will receive a Zoom entry link, a confirmed start and end time, a Host ID Code, and additional instructions.
Will a GVPTA representative be in the meeting to assist?

No. You will be responsible for hosting and managing the room during your meeting. 

How early should I make my booking?

This program is being discontinued. Please submit requests for any meeting dates up until October 31 by August 27.


Requests should be made at least one week prior to your meeting date. Shorter requests may be accommodated but not guaranteed.
